Overview

This half-day management intensive workshop will dramatically improve your communications skills; enabling you to present ideas clearly and succinctly whether you are involved in conducting a formal meeting or an ad hoc discussion. The workshop begins by covering the ‘golden rules’ or fundamental principles of effective communication and goes on to explore the tools used by expert communications to send clear messages and understand the other persons’ point of view. These techniques are important because being able to speak clearly and briefly has a major impact on the credibility of managers, professional staff and the organisations they work for.

Workshop

Characteristics of effective communicators

Reviewing the qualities that are important in making sure that communication is clear and persuasive.

  • Understanding the psychological aspects of being an effective communicator
  • Examining your current beliefs and values

Exercise: Making changes that you feel are appropriate for you

Self-control techniques

Outstanding communicators are able to acquire and maintain a calm, rational state of mind when faced with stressful situations or aggressive behaviour.

  • Congruence (matching words, voice and body language to convey confidence and credibility)
  • Future pacing (how to rehearse effectively in advance of a meeting or presentation)
  • Handling criticism or aggressive behaviour with the ‘bullet proof glass’ technique

Exercise: practising in staying calm when faced with hostile behaviour

Questioning strategies and effective listening

Effective communicators take the time to listen to the other person’s point of view and fully explore the details involved in a particular situation or issue.

  • Assertive listening (really paying attention to what the other person is saying)
  • Assertive inquiry (asking probing questions)
  • Summarising (checking you have understood the other person and vice versa)

Exercise: learning to listen fully

Sending positive messages and presenting recommendations

An effective communicator has the confidence to be himself or herself and to say what they think in any given situation, while taking other people’s feelings into account. This includes both making a point clearly and handling disagreements in a direct but respectful way.

  • Behaviour labelling (assertively and clearly opening a meeting and setting direction)
  • Three step assertive technique
  • Fogging (the power of empathy to deal with a negative or hostile reaction)
  • Broken record (to deal with people who are ignoring you)
  • CIA Speech (assertively and succinctly outlining the Context, Issue and Action required)

Exercise: presenting recommendations and suggesting actions

Feedback is based upon peer review using Boulden assessment checklists. Completing the assessment checklists is not only valuable to the people involved in a given role play or case study, it also helps those completing them to gain an in-depth understanding of the building blocks that make up effective communication techniques.
